Organisation roles and what each can do

The five organisation roles, what each may do, how to change a role, and how permission sets add to them.

  1. Go to Users (/org/{slug}/admin/users).
  2. Open the menu at the end of the person's row and press Edit.
  3. Choose a Role.
  4. Optionally choose a Permission set.
  5. Press Save Changes.

The roles, lowest to highest:

  • Member: a learner. Takes assigned learning and has no administrative access.
  • Analyst: everything a Member can do, plus Insights: analytics, and building and exporting reports.
  • Content Creator: everything an Analyst can do, plus writing organisation articles. The rest of the Content area still needs Admin.
  • Admin: runs the organisation day to day: users and groups, content, sessions and assignments, analytics, integrations and settings.
  • Owner: everything an Admin can do, plus configuring AI agents. On the LMS base package, the AI agents area is for Owners only.

Who can change what. You can only edit people below your own role, and can only give roles below your own. An Admin can set Member, Analyst or Content Creator. An Owner can also set Admin. Owner does not appear in any role list.

Permission sets. These add a defined set of abilities to a person's role. The options are Learner, Team Leader, Quality Team, Analyst, L&D, LMS Administrator and Owner, and the dialog lists what each can manage and view. For example, Quality Team gives compliance authority without user management. Choose None — follows the role above to use the role alone. A person has one permission set at a time. A permission set does not open Users, Content or Settings, which need the Admin role.

Managers. There is no Manager role. Choose someone under Reports to (manager) in the same dialog, and that person sees this member in their My Team dashboard.

Admins and Owners do not count towards a user limit.
